Scanning Documents

The Scan Management Screen is launched when a user successfully logs in to Infinity Scan. This view remains open as documents are scanned into the system. You work in this screen to scan, view, and fine-tune document images.

This section describes the following:

Scanning Images

You can scan documents individually or in groups, called batches. Generally when you scan, you establish some settings in the Scan Management screen and then begin a scanning session with those settings. You work within the Scan Management screen and other features of Infinity Scan to scan, view, fine-tune, and store documents. When each new document is stored, it is assigned to a department and task type. Tasks enter the Infinity Process Platform workflow and are assigned to authorized users in order of priority.

To scan documents:

  1. Log in to Infinity Scan. (See the section Initiating Infinity Scan for details)
  2. Orient and load documents for scanning into the scan device.
  3. Note that before you start scanning, you need to check the scanner source and its configuration. For more information, please refer to the Scanner Configuration Toolbar section.

  4. In the Infinity Scan screen, click the Kodak 1500D button or select Start Scan from the File menu or press F2 on your keyboard to begin the scanning operation.

    If you are scanning a multiple-page document or a batch of documents using a flatbed scanner or manual feed, or you are loading pages one by one for some other reason, you may need to start scanning or press F2 on the keyboard after you load each page. If you load pages quickly enough the scanning will continue automatically.

    If you are scanning multiple pages and there is a scanning problem, such as pages getting skewed or stuck, press F3 on the keyboard. There will be a slight delay before scanning stops. When it does, make any adjustments, then click Kodak 1500D or press F2 on the keyboard to resume scanning.

    Note: Pages that have completed scanning are displayed in the Thumbnail pane.

  5. The scanned document or documents are neither saved to the Infinity Process Platform system nor assigned tasks until they have been submitted using the Submit batch or current document.

    Note: When scanning with a 2D bar code, all documentation associated with the specific criteria identified within the 2D bar code should be scanned in after the appropriate bar code. For example, a new business application or document can be scanned in with the department, task type and action step, along with the identifier and will be encoded in the 2D bar code page preceding the document.

  6. Check the document or batch in the Thumbnail pane to check the correct number of pages and bar codes, and that the pages are readable. (See the section Working with Scanned Images for details.)
  7. Make any necessary changes to the document or batch. Possible changes are rotating, inserting, deleting, or re-scanning individual pages
  8. Press F5 key on your keyboard to submit the batch. Press F6 on your keyboard to delete the batch without saving any documents to the Infinity Process Platform database.

Using the View menu, you can select/deselect the Scanner Configuration toolbar view.

Help

Provides the documentation support for the Infinity Scan.

Scanner Configuration Toolbar

Before you start scanning the documents, you need to check the scanner source, configuration and its properties. The Scanner Configuration toolbar contains the option to configure the scanner. It also provides image enhancements options.

Selecting Scan Source

You can specify the scanner available for scanning.

TO specify the scanner:

  1. Click the Select Scan Source icon or select the same option from the Scanner menu
  2. Select scan source from the Source drop-down list.

Instructions for selecting a scan source can be found on the vendor supplied CD-ROM or can be downloaded from the Kofax Web site at www.kofax.com.

Important! When selecting the source, be sure to choose the option listed with AIPE.

Setting Scanner Properties

Using this option, you can provide timeout period, color mode, paper sides (Single sided or duplex), and paper size.

To specify the scanner properties:

  1. Click the Scanner Properties icon or select the same option from the Scanner menu
  2. Set the properties as per the requirement

Instructions for configuring scanner settings from the Scanner Properties dialog can be found on the vendor supplied CD-ROM or can be downloaded from the Kofax Web site at www.kofax.com.

Important! Resolution (DPI) must be set at an appropriate level for bar code recognition to function. This setting will vary and is dependant on the deployed scanner. Users may adjust this value as necessary.

Scanner Configuration

To Configure Scan Operator Profiles

Modifications made to Scanner Settings dialogs or Image Enhancement Dialogs are automatically saved to the configuration profile currently loaded for Infinity Scan. When Infinity Scan is launched, it will automatically load the last configuration profile selected by the scanning operator when Infinity Scan was closed. The profile used during the session may be changed from the Configuration dialog.

You can add configuration for scanner and image processing engine.

To specify the configuration:

  1. Click the Scanner Configuration icon or select the same option from the Scanner menu
  2. Specify the new configuration using the Add option

The Scan Operator profile that is currently loaded for Infinity Process Platform Scan will be represented by a marked checkbox beside it. The Configuration Dialog consists of two panes:

Settings from Scanner Settings dialogs are saved to the Scan Configuration section of the profile. If a change is made during a current session, these changes are saved to the currently loaded profile in Infinity Scan.

Advanced Image Processing Engine (AIPE) settings are defined in Image Enhancement dialogs and are saved to the AIPE Configuration section of the profile. If a change is made during a current session, these changes are saved to the currently loaded profile in Infinity Scan.

Adding Annotation to Scanned Documents

Infinity Scan supports the addition of annotations and time stamps on images at scan time. The time the document was scanned and the scan station that was used to perform the scan operation might be included as information in an annotation on the scanned image

To enable and configure annotations:

  1. Click the Annotation Properties icon or select the same option from the Scanner menu
  2. Note:The dialog and functionality is dependent on the installed scanner.

  3. Specify annotation in text format

  5. Select Enable to enable Annotations.
  6. Select Add text and type the desired text into the text field.
  7. Select Add Date/Time stamp to configure Infinity Scan to time stamp images.

    Note: The Time Stamp is the date and time on the local scan workstation when the image was brought in to Infinity Scan.

  8. Click Font selection to configure the font style and size for annotations and time stamps.
  9. In Annotation position, use the Select a corner position drop list to specify the location to add the annotation and time stamp.

    Note: As configurations are added, the resulting annotation and time stamp may be previewed in the Sample preview box.

  10. Click OK to accept configurations, or Cancel to discard configurations and close the dialog.

Launch Scanner Configuration from Windows System Tray

If the Windows System Tray is enabled on the desktop, Infinity Process Platform Scan displays a configuration icon in the tray after the application is launched. Scan operators can access the Configuration dialog by clicking the configuration icon.

To enable/disable the Windows System Tray Notification icon:

  1. Mark or unmark the Display configuration notification icon on taskbar check box to enable or disable system tray icon.

  2. Click Done

Main Toolbar

The main toolbar contains options for initiating scan and managing the current scan batch.

The main toolbar contains the following options for initiating the Scan tool and managing the current scan batch:

Function Description
Start / Stop Scan The currently configured/selected scanner and its status are displayed next to the scan icon. When the scanner status is "ready" the user can click the scan icon to initiate a scan. Click the scan icon again while scanning is in progress to stop the scanner.
Batch Information Displays the total number of documents and pages in the current batch. The number of barcodes is also displayed along with pages and documents.
Recycle Bin Displays the total number of barcode pages and standard image pages that have been deleted from the current batch. Clicking the icon launches the recycle bin dialog.
Submit to Infinity Process Platform Submits the current batch or currently selected document(s) to Infinity Process Platform, when clicked.
Delete Deletes the batch or current document when clicked.
Jobs Displays the total number of jobs submitted to Infinity Process Platform and the number of jobs completed.

Scanning additional documents and pages to the current batch is supported. The current batch does not have to be submitted as a job in order to continue scanning.

Image Viewer Pane with Toolbar

The scanned documents are managed and stored from the image viewer pane.

The Image Viewer pane contains the following options.

Toolbar Menu Description
Document Displays previous and next document.
Page Displays First, last, previous and next page. It also displays the page numbers in the order they are scanned.
Zoom In/Out The user can zoom in and out the scanned image.
Rotate Right Rotates the selected page(s) right (clockwise) 90 degrees when clicked.
Rotate Left Rotates the selected page(s) left (counterclockwise) 90 degrees when clicked.
Custom Rotate Rotates the selected page(s) by the number of degrees entered. Custom rotation can be countermanded by rotating the image by the same number of degrees in the opposite direction. For example, if an image is rotated by 20 degrees it can be rotated back by entering -20 degrees in the custom rotation field.
Fit to Page, Height and Width The user can fit the scanned image to page, height and width.

Thumbnail Pane with Toolbar

As pages are scanned, the processed images appear in the Thumbnails screen in the order in which they are processed. First document is displayed at top. The scanned images may be grouped into documents and reordered on the Thumbnails pane using the Thumbnail toolbar. Also the Thumbnails Pane right-vertical border is expandable via click and drag gestures.

The Thumbnail toolbar contains the following option to manage the scanned images.

Icon Toolbar Menu Description
Add Document Creates a new document. If a document node is highlighted, it creates a document with no pages under the highlighted document. If a page is highlighted, it inserts a new document after the highlighted page and the pages become part of the new document.
Group Documents Enabled when a document node is highlighted. It launches the Group Pages dialog in which the user can specify maximum number of pages, per document.
Delete Deletes the selected page(s) or document(s).
Cut Users can move individual pages or groups of pages using the cut-and-paste gesture. The Cut icon is enabled when one or more thumbnails are selected.
Paste Enabled when one or more thumbnails are cut, it moves the cut page or pages after the currently selected thumbnail. Once pasted, the paste icon becomes disabled. The new thumbnail page order is reflected immediately in the thumbnail pane.
Move Page Up Moves the currently selected page or pages up one position each time clicked. The icon is enabled unless the selected page is page one. The new thumbnail page order is reflected immediately in the thumbnail pane.
Move Page Down Moves the currently selected page or pages down one position each time clicked. The icon is enabled unless the selected page is the last page. The new thumbnail page order is reflected immediately in the thumbnail pane.
Reverse Order Reverses the page order of the entire document (when a document node is selected) or the user may select multiple pages and then apply the reverse order to only those pages.
Rotate Right Rotates the selected page(s) right (clockwise) 90 degrees when clicked.
Rotate Left Rotates the selected page(s) left (counterclockwise) 90 degrees when clicked.
Expand All Expands all documents.
Collapse All Collapses all documents.
Barcode Detection To disable barcode in some scenarios where it is already known that the documents being scanned do not contain Barcodes (at least on intermediate pages). Barcode detection has the following three states:
  • All Pages
  • First Page Only
  • Disabled - By default, this option is selected.
The default (initial) state is displayed based on the value of the recognitionEnabled attribute set in the InfinityScan.exe.config file. If recognitionEnabled is set to true, the default state of the toolbar icon is displayed as All Pages. If recognitionEnabled is set to false, the default state of the toolbar icon is displayed as Disabled.
